Mailing Service
The Mailing Service is designed to send electronic documents as paper documents through the mail. These documents include state-required forms and other custom templates. The selectable recipients include the parties on the claim whose information were entered during the intake process. The forms are automatically populated with the recipient, claimant and appointment information. The Mailing Service also allows users to upload and send custom documents to custom recipients.
5.1.1 How to submit documents with Mailing Services
- To access mailing for a particular claimant, Click on the Mailing tab in Simple Services.
- The correspondence's mailing status will be displayed in the status bar at the top of the page.
- Use the checkboxes to select the documents that have to be Downloaded, E-Signed and Downloaded or to be sent for Mail On-Demand Services.
- Select the recipients who will receive the documents.
- Once the documents and recipients are selected, the documents may be mailed through our mailing service, E-Signed and Downloaded or Downloaded using the buttons below the documents and recipients tables.
- Download - The documents selected will be downloaded on the local device for you to manually mail the recipients. Checking the Recipients box is not mandatory for this function. The status bar will move to Mail Downloaded soon after the Download button is clicked.
- E-Sign and Download -The documents will be generated, e-signed and downloaded. Checking the Recipients box is not mandatory for this function. The status bar will move to Mail e-signed and downloaded once E-Sign and Download are clicked.
- Mail On Demand - When Mail On-Demand is clicked, the documents will be sent through the Mail On-Demand Services for the recipients selected. Soon after this, the status bar will move to Mail-In Progress.
5.1.2 How to add a custom document in correspondence.
- Click on Add Custom Document in the documents section.
- Click Upload from your computer and choose a file you wish to add from the device. Make sure the uploaded file does not exceed 300 dpi.
- Click the Save button. A success message will appear once the file is uploaded. A custom document cannot be deleted once the Mail On-Demand Service is used.
5.1.3 How to add a custom recipient in correspondence.
- Click on Add Custom Recipient in the documents section.
- Enter the recipient's name and address.
- Once all the information is filled in, click Save.
- A success message will appear once the recipient is added.
