Examiner Availability

Modified on Thu, 16 Nov, 2023 at 10:03 AM

With this feature, it is easy to schedule an appointment without any time conflict. We can add the availability of each Examiner in a particular location before scheduling a claimant for an appointment so that only the appointments available for a specific time and place will be displayed to select. This will avoid booking two appointments at the same time in a different location.

  • A few changes must be made to the examiner configuration to add the Examiner's availability. This tab is available in the examiner settings.

  • We can make changes to the scheduling method and appointment durations in the examiner configuration tab.

  • Select the scheduling method by clicking the radio button whether this Examiner needs to schedule using Examiner availability or do manual scheduling. If Examiner Availability is chosen, then the Examiner will be listed in the Examiner Availability tab.

  • The Live Appointment Default Duration and Deposition Default Duration are set to 30 Minutes and 60 Minutes. This is editable and can be changed according to the needs.

  • If additional time is needed for an interpreter or if the examination is a complex appointment (A complex appointment is an appointment that takes more than the usual amount of time to complete. For example, in the case that an examiner must evaluate multiple body parts, the appointment can be marked as complex. This will make the appointment time longer, giving the Examiner more time to evaluate the multiple body parts.), then please add the necessary time to the Live Appointment Default Duration.

  • If the Examiner allows Diagnostic Studies during his appointments, please click Yes; otherwise, click No.

  • Once all the information is entered, click Save & Close

  • Now the Examiner's availability is ready to be added.

  • Select the Examiner from the dropdown & click Add Examiner Availability.

  • Select the location & click Select Dates.

  • Select the dates, start times & end times.

  • The default time from 9 am to 5 pm will be preselected; this is editable according to the needs.

  • Once the available dates and times are selected, click Save
  • Examiner availability is added. Repeat the same steps for all locations if necessary.

  • Only the time slots added to Examiner Availability will be displayed while booking an appointment in the Billable Item - Intake Information for a claimant with this particular Examiner.
